  2. Create a Constitution (These are “guidelines” your organization will follow – check out our sample to help you get started!)
  3. Find a full-time TJC Faculty or Staff member to serve as the advisor
  4. Register your organization by completing a New Organization Recognition Form on OrgSync

Recognized organizations or departments can request funds, in either April for the fall semester or November for the spring and summer semesters, by completing a Student Service Fee Advisor Committee Packet by the deadline. This can be found under forms in OrgSync. Once the packet is approved, the organization or department will set up an appointment to present to the committee. Following the meeting, the organization or department will receive a letter with the allocated amount to be used during following semester for the approved items or expenses.

Organizations that wish to travel, beyond 50 miles of TJC, must complete applicable pages of the Student Travel Guidelines two weeks prior to your trip and submit those for approval to the Associate Vice Provost of Student Life. If you wish to use a college vehicle, an approved TJC driver must submit a Fleet vehicle request form.

No organization or individual shall conduct fundraisers on campus without having completed a Fundraising Form and the approval of the Director of Student Life.  Student organizations can only have one fundraiser per month. No raffles may be conducted as a fundraiser and all funds must be kept in the organization’s agency account.

All events or meetings must be properly scheduled by completing the facility request form.

  1. Login to your Apache Access and click “Facility Request Login (Ad Astra)” form on homepage.
  2. You do not need to login.
  3. Go to “Events” Tab and click “Request Event”
  4. Select “Student Life/Organization Event Request” form.
  5. Fill out form and either search or type in which room(s) you want to reserve.
  6. To see if a room is open go to “Calendar” tab and click “Calendar”. (Optional)
  • Use yellow filter bar on left to select room to search.
  • Once you enter a search word, like the room number, “check box” it, click “done” and then “search.”
  • Use the calendar icon to select the desired date of availability.

NOTE: Classrooms are reservable one semester at all time or once all courses have been added.  All other spaces can be reserved a year in advance. Events in the Apache Room(s), requiring substantial set-ups, or utilizing Dining services, should be at least arranged 3 weeks in advance.

Any questions concerning student clubs and organizations or student life events, should be directed to the Center for Student Life and Involvement at 903-510-2797 or email studentlife@tjc.edu
